Create an account

To create an account with us, follow these simple steps:

  1. Visit our website and click on the "Sign Up" or "Create Account" button.
  2. You will be directed to the account registration page. Fill in your name in the designated field. Enter your first name and last name accurately as you would like them to appear in your account profile.
  3. Provide your email address in the specified field. Double-check to ensure it is entered correctly as this will be used for communication and account verification purposes.
  4. Select your preferred transaction currency from the available options. We support a range of currencies to cater to our diverse user base. Choose the currency that aligns with your primary business operations.
  5. Create a strong and secure password for your account. Choose a combination of uppercase and lowercase letters, numbers, and special characters. Make sure your password is unique and not easily guessable.
  6. Before proceeding, take a moment to review our policy. You will find a checkbox to accept to consenting to our data regulations as described in the Privacy Policy. Click on it to access and review our terms and conditions, privacy policy, and any other relevant policies. Ensure you understand and agree to our policies.
  7. Once you have reviewed the policy, check the box to indicate your agreement.
  8. Finally, click on the "Sign Up" button to complete the registration process.
  9. NOTE: Before you can sign in, you will have to follow the email verification link sent to your email.

Create an organization

  1. Create an account: If you haven't already, start by creating an account on Findexterous.
  2. Go to the organization's page or settings page: Once you're logged in, navigate to the organization's page or settings page. Look for the section that allows you to manage organizations.
  3. Click "Add organization": Within the organization management section, click on the "Add organization" button to begin creating a new organization.
  4. Fill in organization details: A form will appear where you can provide the necessary information about your organization.
  5. Add members' email and set custom roles: Next, you'll have the option to add members to your organization. Enter the email addresses of the individuals you want to invite. Specify their roles within the organization, such as administrator, member, or executive, based on the access and permissions they require.
    NOTE: The creator of the organization is assigned the Executive role.
  6. Invitation mail will be sent to each member: After filling in the member details and roles, click on the "Create" to send invitation emails to each member and create organization. They will receive an email with a link to join your organization on Findexterous.
  7. Start managing your finance with 1 month free package: you can now start managing your finances using the Findexterous platform. As a bonus, enjoy a 1-month free package that allows you to explore and utilize our features without any cost.

Add new currency

  1. Go to your settings page: Log in to your Findexterous account and navigate to the settings page. Look for the settings menu, accessible from the user profile icon or "Settings" on the menu.
  2. Go to the currencies input and add new currencies: Once you're on the settings page, locate the section related to add new currency.
  3. Add new currencies: Within the currencies section, you'll find a dropdown labelled "Currencies" where you can add new currencies.
  4. Select the desired currency: From the available options, you can see all the currencies we support. Choose the currency that you wish to use for your financial transactions.
  5. Click the "Save Changes" button: After selecting the desired currency, review and ensure that the currency selection is accurate. Once you're satisfied, scroll down to the bottom of the form and click the "Save Changes" button. Click on it to create the new currency account.
NOTE: Creating an new currency account cost 4 Findex coins but switching current currency is free.
NOTE: If you remove a currency and save the changes, the account will be deleted. However, there is a time window during which you can retrieve your account if you create the currency account again.

How to switch currency account

  1. Select the desired currency: Within the settings page, you'll find the current currency dropdown. Click on the dropdown menu to access the available currency options.
  2. Choose the desired currency: From the list of available currencies, select the one you want to switch to.
  3. Click the "Save Changes" button: After selecting the desired currency, scroll down to the bottom of the form or interface and locate the "Save Changes" button. Click on it to save your currency selection and switch to the new currency.

Account Settings

  1. Change password:
    • Click on the "Password" tab on the settings page.
    • Provide your current password, enter a strong new password, and confirm the new password.
    • Click on the "Change Password" button to update your password securely.
    NOTE: New password and current password can not be the same.

    • To remove the current profile image, click on the "Remove" button.
    • To add or change the profile image, click on the "Upload Image" button.
    • Select an image from your device and preview it.
    • Click on the "Upload" button to set the new profile image.
  3. Update name, username, occupation, and phone number:
    • Modify the fields for name, username, occupation, and phone number on the settings page.
    • Ensure the updated information is accurate and up to date.
    • Click on the "Save Changes" button at the bottom of the form to update the information.

  4. Edit organization:
    • Locate the organization you want to edit and click on the edit icon next to its name.
    • A modal window will open, allowing you to make changes.
    • Update the organization's logo, name, and sector according to your preferences.
    • Once you've made the desired changes, click the "Edit" button to submit and save the modifications.
    NOTE: You can only edit organization you created.
  5. Delete organization:
    • Find the organization you wish to delete and click on the "Delete Organization" option.
    • A pop-up modal will appear, requesting confirmation of the action.
    • Carefully review the prompt and, if you are certain, confirm the deletion to proceed.
    NOTE: You can only delete organization you created.
    NOTE: Your organization details, data and current subscription will be forever lost and irretrievable.
  6. Delete your account:
    • To delete your entire account, click on the "Delete Account" option.
    • A confirmation pop-up will appear, asking for final confirmation.
    • Take a moment to consider the consequences, as this action is irreversible.
    • If you are certain about deleting your account, confirm the action to proceed.
    NOTE: Your details, data and available Findex coins will be forever lost and irretrievable.

      • Open the invoice email you received from Findexterous.
      • Scroll down to locate the "Click to Unsubscribe" link.

      • On the unsubscribe page, click the "Unsubscribe" button.
      • Your email address will be added to our email suppression list, and you will no longer receive invoice emails.
    • Manage Suppression List from Account Settings:

      • Scroll down to find the option "Stop Receiving Invoice Emails."
      • Click the associated button and confirm your action.
      • Your email address will be added to the invoice email suppression list.

    Your Findexterous subscription will be deactivated if your organization account is deleted. When the organization account is deleted, all associated subscriptions are automatically deactivated.

  3. Personal Account Deletion:

    If you delete your personal account on Findexterous, your subscription will be deactivated as well. When your personal account is deleted, any active subscriptions linked to your account will be automatically deactivated.

Please note that once your subscription is deactivated, you may lose access to certain features and services.

Recording transactions

  1. Navigate to the dashboard: Log in to your Findexterous account and access the dashboard.
  2. Access the record transaction feature: Locate the "Record Transaction" dropdown at the top of any page on the dashboard.
  3. Select "Record Transaction" option: Click on the dropdown and choose the "Record Transaction" option. A form will appear on the screen.
  4. Fill in transaction details: In the transaction form, provide the necessary information. Start by entering a description of the transaction, such as a brief explanation or reference. Then, input the transaction amount, specifying whether it is an income or expense and also select from the dropdown the category of the transaction.
  5. If the transaction is not for the current date, click on "Select Date" to choose the specific date of the transaction.

Importing transactions

Importing transactions into your Findexterous account is a simple process. Follow the step-by-step guide below to successfully import your transaction data:

  1. On the summary page, locate the table or list of transactions and click on the three-dot drop-down menu at the top of the table.
  2. From the dropdown menu, select the option "Import Sheet."
  3. A dialog box will appear, allowing you to select the sheet you want to import. Browse your files and choose the desired sheet.
  4. Ensure that the sheet you want to import contains the following columns: date, description, income, expense, and category. These columns are essential for successful transaction importation.
  5. In the sheet, make sure that the income and expense columns contain numerical values only, without any currency symbols attached to the header column.
  6. After verifying that the sheet meets the required format, confirm your action to proceed with the importation process.
  7. The sheet will be submitted, and Findexterous will start processing the imported data. During this process, your transaction history will be recalculated based on the newly imported data.

Once the import process is completed, you will be able to access and view your updated transaction history within your Findexterous account.

  1. Selected date Transaction Visuals on the Dashboard: On the dashboard page, you can find visuals specifically designed to provide a snapshot of your transactions for the selected day. These visuals display the total expenses, total income, and the calculated net profit. If you're using an organization account, the disbursed amount is also factored into the expenses, giving you a holistic view of your financial activity for the day.
  2. Daily Transaction Visuals for the Last 7 Days from selected date: The dashboard page also includes visuals that span the past seven days from selected date, allowing you to track your daily financial performance. These visuals showcase the total income, total expenses, disbursed amount (for organization accounts), and net profit for each day. By analyzing these visuals, you can identify trends and fluctuations in your financial activities over the week.
  3. Monthly Transaction Visuals for the Last 12 Months from selected date: Findexterous offers visuals that provide an overview of your financial performance over the past 12 months from selected date. These monthly transaction visuals present data on your total income, total expenses, and net profit. For organization accounts, the disbursed amount is also incorporated into the expense calculations. By examining these visuals, you can gain valuable insights into your long-term financial trends and assess your financial stability and growth.
  4. Inventory Summmary Visuals: You can view a summary of the various items in your inventory on Findexterous. Findexterous provides visuals of the statuses of these items, such as in stock, pre-order, etc.

Findexterous offers different access levels for recording transactions and viewing visuals based on user roles and subscription status. Here's an explanation of the access options:

  1. For Individual account:
    • Viewing Visuals: Individual accounts have the flexibility to view visuals at any time. This means that individual users can access and analyze the insightful visuals provided by Findexterous to gain a better understanding of their personal finances. Whether it's monitoring expenses, tracking income, or assessing net profit, individuals have unrestricted access to these visuals.
    • Similarly, individuals can record transactions at any time. Users can easily enter transaction details, such as descriptions, amounts, and income or expense categorizations, into the Findexterous platform, ensuring accurate record-keeping and helping them maintain a comprehensive financial overview.
    • Individuals can import transactions if they have an adequate amount of Findex coins available.
    • Individuals have the ability to change transaction categories or delete any of their own transactions.
  2. For Organization account:
    • Viewing Visuals: In organizations, only administrators and executives have access to view the visuals. These key roles within the organization can leverage the insightful visuals provided by Findexterous to monitor the financial performance of the organization. However, members with a lower role, such as member role, do not have access to view the visuals. This access restriction ensures that sensitive financial information is accessible only to authorized personnel.
    • Recording Transactions: On the other hand, any member of the organization, regardless of their role, can record transactions. This allows all team members to contribute to the financial record-keeping process. By allowing multiple users to record transactions, Findexterous promotes collaboration and ensures that all financial activities are accurately documented within the organization.
    • Importing transactions is restricted to executives and admins only.
    • Only executives have the authority to change transaction categories or delete any of the organization's transactions.
  3. For Unsubscribed Organizations:
    • Recording Transactions: In unsubscribed organizations, no team member, including administrators and executives, can record transactions. This restriction is in place until the organization subscribes to a plan.
    • Viewing Visuals: Similarly, visuals are only available to unsubscribed organizations after they subscribe to a plan. Once the organization subscribes, the visuals become accessible, providing valuable insights into the organization's financial performance and aiding in informed decision-making.
    • Importing transactions is restricted for unsubscribed organizations.
    • The ability to change transaction categories or delete any of the organization's transactions is restricted.

Invoicing

Findexterous provides a powerful invoicing feature that streamlines the process of sending invoices to your clients and requesting payments from your organization for projects or expenditures.

With Findexterous, you can easily create professional and customized invoices, including detailed descriptions of the products or services rendered, quantities, rates, and applicable tax. Once created, these invoices can be sent directly to your clients' email addresses.

Findexterous also allows you to follow up on overdue payments. Whether you're a freelancer, small business owner, or part of a larger organization, Findexterous empowers you with an invoicing solution that simplifies your financial transactions and ensures timely payments.

Send invoice

To send invoices to client' email on Findexterous, follow these steps:

  1. Navigate to the invoice page on your dashboard.
  2. Start by selecting the "Send to client" radio button, indicating that you want to send the invoice electronically to your client.
  3. Fill in the necessary details:
    • Enter the invoice number to uniquely identify the invoice.
    • Select the currency in which the invoice will be displayed and processed.
    • Specify the due date for payment.
    • Choose the invoice theme color that aligns best with your brand.
    • Provide the billing details in the "Bill from" section, including your organization's name, address, and contact information.
    • Enter the recipient's details in the "Bill to" section, including the recipient's name, email address, and any other relevant information.
    • Add items to the invoice, including their names, unit prices, and quantities.
    • Include any applicable discount amounts on the invoice items if required.
    • Include any applicable value-added tax (VAT) amounts if required.
    • If applicable, include shipping amount.
    • Optionally, enter the amount already paid towards the invoice.
    • Add any additional notes or messages to the recipient, such as payment terms or special instructions.
  4. Click the "Preview" button at the top of the form to review the invoice before sending it. This allows you to ensure all details are accurate and the invoice appears as desired.
  5. If you need to make any further changes, click the "Edit invoice" option from the dropdown menu at the top. Otherwise, if you are satisfied with the invoice details, click the "Send to client" button.
  6. Before sending the invoice, you will be prompted to provide a custom message that will be sent to the recipient's email along with the invoice.
NOTE: For individual accounts, sending an invoice cost 4 Findex coins after the first sent invoice for the day.
NOTE: Invoice is sent to the email entered in the "Bill To" section.
NOTE: If available, the sent invoice will be customized with the organization's or individual's logo.

Resending Invoice

Here's a concise guide on how to resend an invoice email:

  1. Navigate to the invoice page on your dashboard.
  2. Go to the history tab.
  3. Locate the specific invoice you want to resend.
  4. Click on the preview option for that invoice.
  5. In the preview window, look for the options dropdown menu located at the top.
  6. Select the "Resend to Client" option from the dropdown.
  7. Confirm the action when prompted.
  8. The invoice email will be resent to the recipient.
NOTE: You can only resend invoice whose due date has not yet passed.

  1. Access the Ledger Page: Log in to your Findexterous account and navigate to the ledger page, which you can find on your mega menu or side menu.
  2. View the Table: On the ledger page, you will find a table displaying your previous transactions. This table provides a concise overview of your financial activities.
  3. Transaction Details: Each transaction row in the table contains important details to help you understand your financial history. These details typically include:
    • Date of Transaction: This column shows the date when the transaction took place, allowing you to track the timing of your financial activities.

Download transactions ledger

Downloading transactions ledger on Findexterous is a convenient way to save and access your financial data on cloud. Here is a guide on how to download transaction summaries:

  1. Go to the Summary page in Findexterous:
    • On your dashboard open the side menu navigation menu and locate the Ledger option.
    • Click on the Ledger option to navigate to the transaction ledger page.
  2. Locate the Download Option:
    • On the transaction ledger page, look for a three dots (ellipsis) button
    • Download option will appear from the dropdown
  3. Click the Download Button:
    • Once you have located the download option, click on it to initiate the download process.
  4. Authorization (if applicable):
    • If your account has the necessary authorization to download the ledger, all the transactions summary with the specified date range will be compiled into a downloadable file format, such as .xlsx (Microsoft Excel).
  5. Transactions ledger Sent to Your Email:
    • After completing the authorization process, Findexterous will generate the transaction summary file.
    • The ledger file will be sent to the email address associated with your Findexterous account.
    • Check your email inbox for the ledger file.
  6. Accessing the Downloaded ledger:
    • Open your email and locate the message from Findexterous containing the ledger.
    • Download the attached file to your preferred location on your device.
    • Once downloaded, you can open the file using compatible software or applications such as spreadsheet programs (e.g., Excel, Google Sheets) to view and analyze the data.
NOTE: For individual accounts, downloading a ledger with a year date range costs 2 Findex coins, and if the date range exceeds a year, it costs 4 Findex coins.

  1. For Individual accounts:
    • Individuals have the ability to view their transactions summary at any time. This summary provides an overview of their financial transactions.
    • Individuals can also download their transactions summary if they have sufficient Findex coins. The cost of downloading depends on the date range, with longer date ranges requiring more Findex coins.
    • Individuals have access to view all financial activities, allowing them to stay informed about the various financial transactions occurring within their account.
  2. For Organization accounts:
    • Only administrators and executives within an organization have access to view and download the complete transactions summary. This enables them to have a comprehensive overview of all financial transactions within the organization.
    • Members within the organization can only view and download their own transactions summary, limiting their access to their individual financial data.
    • Members with a "member" role are unable to view the cumulative total on the summary page.
    • Administrators and executives have the privilege to view all financial activities, giving them insights into the overall financial operations of the organization. Members, on the other hand, can only view the financial activities they are directly involved in.
  3. For Unsubscribed Organizations:
    • Unsubscribed organizations have limited access to financial data. They can only view and download transaction summaries within the last 7 days, providing them with a recent snapshot of their financial activities.
    • Similarly, they can only view financial activities within the last 7 days, which allows them to monitor recent financial operations.

Payrolling

Findexterous offers an efficient and user-friendly solution for managing your payroll effectively. With Findexterous, you can easily handle various aspects of your payroll process, such as calculating employee wages.

Payroll entry

Here's a comprehensive guide on how to enter payroll entries on Findexterous:

  1. Manually Adding Payroll Entries:
    • Go to the Payroll page in Findexterous.
    • Click on the "Payroll Actions" dropdown menu.
    • Select "Add Multiple" from the options.
    • In the prompt that appears, enter the number of rows you want to add for payroll entries.
    • Fill in the required information for each employee, including their name, position (optional), bank number, bank name, and salary.
    • If you want to replace all previous entries with the new ones, you can check the "Override Previous" option.
    • Once you have entered all the payroll details, click on the "Form Actions" dropdown menu, select "Submit Form", and confirm the action.
  2. Importing Payroll from a Sheet (e.g., XLSX, CSV):
    • Navigate to the Payroll page in Findexterous.
    • Click on the "Payroll Actions" dropdown menu.
    • Choose "Import Sheet" from the available options.
    • Select the sheet file (e.g., XLSX, CSV) that contains the payroll information you want to import.
      NOTE: The sheet must contain these columns named as follow; name, position, account number, bank name and salary. Column names are not case sensitive.
    • Preview the imported sheet information and make any necessary edits or adjustments.
    • If you want to replace all previous entries with the new ones, check the "Override Previous" option.
    • Once you have reviewed and edited the payroll details, click on the "Form Actions" dropdown menu, select "Submit Form", and confirm the action.

  1. Edit Payroll Entry:
    • Navigate to the Payroll page in Findexterous.

    • Preview the changes, and when you are certain, click the "Edit" button and confirm the action. This will update the payroll entry with the edited information.
  2. Delete Payroll Entry:
    • Go to the Payroll page in Findexterous.
    • Click the actions dropdown menu for the payroll entry you wish to delete.
    • Select the "Delete" option from the dropdown.
    • If you are certain about deleting the payroll entry, click "Yes" to confirm the action. This will remove the payroll entry from your records.
  3. Toggle Entry Active Status:
    • Visit the Payroll page on Findexterous.
    • Locate the actions dropdown menu for the payroll entry you want to modify.
    • Select either "Mark as Inactive" or "Mark as Active" based on the desired status change.
    • If you are sure about the change, click "Yes" to confirm. This action will toggle the active status of the payroll entry accordingly.
    • NOTE: Payroll entry set to inactive will not be among the downloaded payroll entries.

Searching and filtering

  1. Last Edited By:
    • To filter payroll entries by the member who last edited them, go to the Payroll page.
    • Locate the "Last Edited By" filter option and select the desired member from the dropdown menu.

    • To filter payroll entries by the member who created them, navigate to the Payroll page.
    • Find the "Creator" filter option and choose the specific member from the dropdown menu.
    • This will show all the payroll entries that were created by the selected member.

    • Locate the "Show Active" filter option and choose either "Active" or "Inactive."
    • Selecting "Active" will display only the active payroll entries, while choosing "Inactive" will show the inactive ones.

    • Look for the up and down arrow icons next to column titles such as name, position, account number, bank name, or salary.
    • Clicking the arrow once will sort the entries in ascending order, and clicking it again will switch to descending order.

Download payroll

    • In the payroll actions dropdown, select the "Download" option. This action will initiate the process of downloading your payroll entries.
  4. Authorization (if applicable):
    • If your account has the necessary authorization to download payroll data, all the payroll entries will be compiled into a downloadable file format, such as .xlsx (Microsoft Excel).
  5. Save the Downloaded File:
    • After clicking the "Download" option and the file is generated, a prompt will appear asking you to save the file to your desired location on your device.
    • Choose an appropriate location and provide a name for the file.
    • Click "Save" to save the downloaded payroll file.
  6. Access and Manage the Downloaded Payroll:
    • Once the file is saved, you can locate it in the chosen destination folder on your device.
    • Open the downloaded file using compatible software, such as Microsoft Excel or other spreadsheet applications.

    • Individuals can download their own payroll entries, if they have sufficient Findex coins for record-keeping purposes or further analysis.
  2. For Organization accounts:
    • Administrators and Executives within organizations have comprehensive access to payroll activities, including creating, viewing, editing, deleting, filtering, searching, and downloading payroll entries.
    • Administrators and Executives can create payroll entries for employees within the organization, entering details such as salary, position, bank account information, and more.
    • They have the ability to view all payroll entries within the organization, not just their own. This allows them to monitor and manage the payroll data for all employees.
    • Administrators and Executives can edit payroll entries to make necessary changes or updates, such as adjusting salary information or modifying personal details.

  3. For Unsubscribed Organizations:
    • Unsubscribed organizations have limited access to payroll activities on Findexterous.
    • Administrators and Executives can view payroll entries within the organization, but they are unable to create new entries or make any changes.
    • Filtering and searching options allow them to effectively filter and search for specific payroll entries based on criteria like name, position, account number, bank name, or salary.
    • However, they are unable to create, edit, delete, or download payroll entries since these actions require a subscribed organization account.
